Inventory
The Inventory module provides complete stock management across multiple warehouses. Track items by SKU, manage categories, monitor real-time balances, handle goods receipts, stock transfers, adjustments, and lot/serial tracking.
Overview
The Inventory module is the central system for managing physical stock. It integrates with Purchasing (goods receipts from POs), Accounting (stock valuation in GL), and supports multi-warehouse operations with transfers, adjustments, and lot/serial traceability.
Getting Started
Navigate to Operations → Inventory in the sidebar. Youʼll see the inventory dashboard with quick links to all sub-modules.
Prerequisites
- At least one warehouse must be created
- Item categories should be configured (for GL account defaults)
- Items must be created before stock can be tracked
Core Concepts
Items & SKUs
Each inventory item has a unique SKU, name, description, unit of measure, category, and costing method. Items can be raw materials, finished goods, or consumables.
Warehouses
Multiple warehouses can be configured, each with locations and zones. Stock is tracked per warehouse, and transfers move stock between them.
Balances
Real-time stock levels show quantity on hand, available, reserved, and on order per item per warehouse. Balances update automatically with every goods receipt, transfer, or adjustment.
Lot & Serial Tracking
Optional lot/batch tracking for expiry-managed items. Serial number tracking for individually identified units. Both provide full traceability from receipt to consumption.
Features
Item Categories
Hierarchical categories with default GL account mappings. When a goods receipt is posted, the system knows which inventory asset account and expense account to use based on the itemʼs category.
Warehouse Management
Create and manage warehouses with locations and zones. Each warehouse has its own stock balances and can be used for receiving, shipping, or both.
Inventory Balances
Live view of stock levels across all items and warehouses. Cards show aggregate quantities on hand and available. Table view breaks down by item, warehouse, and SKU.
Goods Receipts
Record physical receipt of goods, typically against a purchase order. Automatically updates stock levels. Supports partial receipts.
Stock Transfers
Move stock between warehouses. Creates a transfer document that records source, destination, items, and quantities. Decreases stock at source, increases at destination.
Stock Adjustments
Adjust stock levels for cycle counts, write-offs, or corrections. Supports both increase and decrease adjustments with reason codes.
Lots & Serial Numbers
Track items by lot (for batch/expiry management) or serial number (for individual unit tracking). Full traceability from receipt through all movements.
Workflows
Receiving Stock Against a PO
- Navigate to Goods Receipts
- Click New Goods Receipt
- Select the related Purchase Order
- Verify received quantities against ordered quantities
- Post the receipt — stock levels update automatically
Transferring Stock Between Warehouses
- Navigate to Stock Transfers
- Click New Transfer
- Select source and destination warehouses
- Add items and quantities to transfer
- Post the transfer — stock adjusts at both warehouses
Best Practices
- Set up item categories with correct GL account defaults before creating items
- Perform regular cycle counts and record adjustments promptly
- Use lot tracking for items with expiry dates
- Always create a goods receipt against the PO — donʼt adjust stock manually for received goods
- Keep SKU naming consistent and descriptive
