Digital Docs
The Digital Docs module provides a centralized document management system with version tracking, secure sharing, and template management. It integrates with cloud storage for reliable file storage.
Overview
Digital Docs is the organizationʼs document hub. Upload files, manage versions, create reusable templates, and share documents with specific employees. All files are stored securely with access controls.
Getting Started
Navigate to Work → Digital Docs in the sidebar. Youʼll see two tabs: Docs (files and documents) and Templates (reusable document templates).
Uploading a Document
- Click Upload in the Docs tab
- Select the file from your computer
- Optionally add a description and tags
- Choose sharing permissions (who can view/edit)
- Click Upload
Core Concepts
Version Control
Every time a document is updated, a new version number is allocated. Previous versions are preserved and can be downloaded. This ensures you never lose work and can track changes over time.
Storage Backend
Files are stored either in Cloudflare R2 (S3-compatible cloud storage) or on the local filesystem, depending on configuration. The storage layer is abstracted — you interact with documents the same way regardless of backend.
Access Permissions
Documents can be private (uploader only), shared with specific employees (read or read/write), or available to all employees. Permissions are managed per document.
Features
Document List
Browse all documents with search and filter. See file name, upload date, version, uploader, and sharing status at a glance.
Templates
Create reusable document templates for contracts, proposals, reports, and other repeatable documents. Templates speed up document creation and ensure consistency.
Secure Sharing
Share documents with specific employees with granular read/write permissions. Revoked access is immediate.
Version History
View the complete version history of any document. Download previous versions or restore them if needed.
Workflows
Document Update Workflow
- Open the document you want to update
- Click Upload New Version
- Select the updated file
- The system auto-increments the version number
- Previous version is preserved in history
Template Usage Workflow
- Create a template in the Templates tab
- When needed, click Use Template
- Fill in the template fields
- The generated document is saved as a new file in Docs
Best Practices
- Use descriptive file names — they become the document title
- Create templates for documents you generate more than twice
- Review sharing permissions periodically to ensure theyʼre still correct
- Donʼt delete old versions — storage is cheap, lost history is not
- Tag documents consistently for easier searching
